Everything the site sent out, newest first: galleries, videos and graphics delivered to a dashboard, shop and print orders, booking and program requests, credits and CRM emails. Sent means the notification email was accepted by Resend — not that the person opened it. Use Check on a row to ask Resend for the live state (delivered, bounced, complained). Rows from before this was added show Not tracked: the item is on the dashboard, but the email cannot be confirmed after the fact.

Events
These appear on wardsportsmedia.com/events.html in this order. Changes go live within about a minute of saving.

Videos & Podcasts
Showcase reels on wardsportsmedia.com/videos.html (grouped by sport) and episodes on wardsportsmedia.com/podcasts.html (grouped by show). Either paste a YouTube or Vimeo link, or upload the file itself and it will play from your own site. Then choose which page it belongs on.
Services & pricing
What shows on wardsportsmedia.com/services.html — the service cards, the details & pricing lists, and the Quick pricing boxes. Edit a service, click Apply, then Save to publish.
Edit service
Quick pricing boxes
The four (or however many) “from $…” boxes near the bottom of the Services page.
Team access
Give employees their own sign-in instead of sharing your password. You hand out a one-use code; they create their own password with it. CRM keys open only the CRM (contacts, media days, invoices, emails). Admin keys open everything here and the CRM, except this Team tab. MatWard only keys open just the MatWard console (every tournament, accounts, athletes, teams, video). Tick MatWard to add the MatWard console to a CRM or Admin key. Keys can be switched off any time.
Send each person their code privately. They sign in at wardsportsmedia.com/admin (Admin), wardsportsmedia.com/admin/crm (CRM) or wardsportsmedia.com/matward/admin.html (MatWard) and enter the code in the password box. The code works once — the site then asks them to create their own password, and the code stops working. You never see their password; if they forget it, press Reset password and send them the new code.
Reel Builder
Music library and pricing for wardsportsmedia.com/reels/. Only upload music you have a license to distribute (royalty-free / licensed tracks). Customers can also upload their own track.
Price
Those two multiply: 1 credit at $20 means a $20 reel; 2 credits at $20 means $40. Set credits to 0 and reels are free. This price is also what a credit costs anywhere else on the site.
If you set a free trial on the Stripe Payment Link, put the same number of days in free trial — the Reel Builder markets it under the Unlimited reels button, so the two must match or the page promises something Stripe will not honour. Make a recurring Stripe Payment Link, paste it here, and the Reel Builder shows an Unlimited reels button next to the price. Leave it blank to hide that button. Subscribers still need a code from you — create it in Programs and set Plan to Reel only.
$59/mo program accounts get this one reel template with no credits. Pick None to include none.
Uses the same credit codes as the Graphic Builder. Set credits to 0 to make reel downloads free (no watermark).

Template samples
Every template card on the Reel Builder has a ▶ Try it button that plays the template on the preview with sample photos, so clients can see the style before adding their own footage. Add a finished reel here and the card also gets a 🎬 Sample button that plays it.
| Template | Sample reel |
|---|
Paste a YouTube, Vimeo or Instagram reel link, or upload the MP4 you exported from the builder (stored in your ward-media bucket, up to 100 MB). Build each sample in the builder with real footage so it shows what clients actually get.
Asset library
Backgrounds and effect overlays that clients can pick inside the Graphic Builder (“Ward Media backgrounds” under Change the background, and “Effects & overlays” under Extra graphic). Drop in your originals — they’re resized to 1800 px and compressed in your browser before upload, so 20 MB JPEGs are fine. Only upload images you have the rights to use (Adobe Stock licensed downloads yes; “_Preview” watermarked files no).
Backgrounds
Effects & overlays
Smoke, rays, glow, light leaks, textures on black — they’re blended in Screen mode over the graphic, so black disappears.
Templates
Rename, re-describe or hide built-in templates, and create your own from artwork you upload.

Drag a box to move it, drag the corner handle to resize. Click a box to edit its settings on the right.
Claude reads the artwork and places the fields for you — about 2¢ a go. You can drag anything afterwards.

Move accounts over from Ward Media Nation
Paste the member list (or choose the CSV export) — a header row with name, email and phone columns in any order, or just one email per line. Accounts are created without a password: the first time someone signs in, the site tells them their account moved and emails them a link to set one. Emails that already have an account are left untouched.
Sends the "Your account has moved — set your password" email (link good for 7 days) to every moved-over account, one at a time, and remembers who has been emailed so you can run it again later for stragglers. Resend's free plan allows about 100 emails a day — if it starts failing, stop and continue tomorrow.
Private galleries & videos from Ward Media Nation
Choose wmn-import.json (who had which private gallery or video on the old site) or wmn-archive.json (every public gallery and folder on the old site — they appear on the Galleries page under "Ward Media Nation archive"). The Worker reads each gallery's photo list straight from wardmedianation.com and puts the gallery or video on that person's dashboard here — no emails are sent. Safe to run again: it updates rather than duplicates. Import the accounts first so every email has somewhere to land.
Stage two — copy everything into your own storage
Once the R2 bucket is bound to the Worker (variable MEDIA), this copies every moved-over photo and video from the old site into your bucket, a few at a time, and switches the dashboards over as each gallery finishes. Leave this tab open while it runs; you can stop and pick it up again later — it never re-copies what is done.

Print orders
Posters and vinyl banners ordered from the Graphic Builder are paid on the site (Stripe) and then emailed to the sign company with the print-ready file — you are copied on every one. Set the shop, the prices and the shipping rates here.

Prices & shipping (USD)
Shipping is charged by parcel and by where it goes: Florida · Southeast (GA, AL, SC, NC, TN, MS) · rest of the contiguous US · Alaska & Hawaii. The starting rates are placeholders — put in what your carrier actually charges for each tube / box.

Pending = the client went to Stripe but has not paid (or closed the tab before coming back — Re-check asks Stripe and, if it was paid, sends the emails). Paid = emailed to the shop and the client.

Shop
Ward Wrestling tees & hats at /shop.html. Customers pay by card on the site (Stripe); each paid order is sent to Printful, who print and ship it. Set the products up in your Printful dashboard, then import them here.
Printful
Checking…
How to set up Printful (once): create a free account at printful.com → Stores → add a Manual order / API store → Product templates → add a Unisex heavyweight tee and a Trucker hat for each of the nine designs (upload the artwork, pick white and black, set the retail price) → Settings → Developers → create an API token and paste it into the Cloudflare Worker as the secret PRINTFUL_API_KEY (add PRINTFUL_STORE_ID too if the token covers more than one store). Name each product "Word Tee" / "Word Hat" so the shop groups them under the right design.
Products
| Order | Design | Product | Type | Price | 2XL | 3XL | 4XL | Variants | Photos | On |
|---|---|---|---|---|---|---|---|---|---|---|
| Nothing imported yet. | ||||||||||
The arrows set the running order on /shop.html — top of this table is first on the page. A design's tee and hat move together, because the shop shows them as one card. Put your best seller first; most people never scroll past the first row.
Printful only sends the one front mockup per colour. To show the sleeve and back on the shop page: in Printful open the product → ⋯ → Download mockups, pick the views you want, then drop those files into Photos here. They appear after the Printful shot, in the order you add them. Re-importing from Printful keeps them.
Printful charges more to print 2XL and up. Put the bigger retail prices in the 2XL / 3XL / 4XL boxes — leave one empty and that size just uses the base price. Check your Printful cost per size first so the big ones still make money after shipping.
Shipping, tax & fulfilment
Printful's US rates are roughly $4.70 for the first tee and $1.50 each after; hats about $5. Charge at least that.

Galleries
Everything public on SmugMug shows on the site automatically. Tick Hide on any folder or gallery to keep it off the Galleries page, the home page and the builder's photo picker (it stays live on SmugMug). Hiding a folder hides everything inside it.

Featured galleries
Tick Feature on any gallery, folder or archive item above, then choose here where each one shows: Home (the galleries strip on the home page, 6 slots — anything left over is filled with the newest galleries) and/or Galleries (the Featured row at the top of the Galleries page). Order them with the arrows. Remember to click Save.
Hidden right now
Ward Media Nation archive
Galleries copied over from the old site — shown on the Galleries page under "Ward Media Nation archive". Hide keeps a gallery stored but off the public page; Delete removes it and its photos from your storage for good. Link-only and private galleries from the old site are listed too (greyed) — they never show publicly, only on the dashboards they were delivered to.

Tip: galleries set to Unlisted or password-protected on SmugMug never appear on the site at all — use that for client-private work.
Booking requests
Every "Request / Book / Schedule" button on the Services page and the "Contact for details" button on the home page lands here. Use Add to CRM to turn a request into a contact + media day in the CRM (it goes on the calendar once it has a date). Mark done only hides it from the CRM’s new-requests list.

Programs
Team / program subscriptions ($59 per month). Requests come from the "Set up your program" form on the home page. Approving one creates the program's access code — send that code to the coach; it works in the builder's Program login.

Password resets, delivery notices, access codes and request alerts send through Resend (see EMAIL-SETUP.md).
Subscription checkout
Create a $59 / month subscription Payment Link in Stripe (Product → Recurring → Payment link) and paste it here. After a coach sends a request, the site offers this link to start billing.
Discount codes
Codes buyers type at Stripe checkout. Credits are still awarded at full value — a 50%-off code on the 10-pack gives 10 credits for $75.
| Code | Discount | Uses | Expires | Status |
|---|
One-time setup in Stripe: open each Payment Link → Edit → turn on Allow promotion codes. Without that, checkout won't show the code box.
Site popup
One promo box that opens over the site. Edit it here, switch it on when you want it, switch it off when the offer is over — no redeploy either way.
What it says
Pictures
Up to three, and nothing gets cropped — each photo shows whole. One landscape fills the width. Two or three verticals sit side by side.
Services to show
Tick any of your services. Each one becomes a link in the popup, straight to that service on the Services page.
Discount
Offer one of your existing codes, or none. These are the real codes from the Discount codes tab — this does not create one.
Where it appears
Leave the Galleries and the two builders unticked unless you mean it — those are people in the middle of a job.
How often
Uploads
Drop a video or a graphic here and it gets a public link on your own relay. Use it for anything that has to be fetched from outside — scheduled Instagram posts, an email, a text to a coach. Nothing here goes on the website, and nothing here counts against the Netlify size limit.
| File | Size | Added |
|---|
Removing a file takes it off this list so it stops being offered. The file itself stays on the relay, so any post already using the link keeps working.
Logos
The school logo library. Clients see these in the Graphic Builder and Reel Builder under the logo upload — they search their school and tap it instead of hunting for a file. Add a whole folder at once: flat white backgrounds are made transparent, empty edges are trimmed, and each logo is sized for the builders. Names come from the file names — fix any here and it saves on its own. Add an Also known as name (Christopher Columbus, a nickname, initials) and clients find it under that too.

Map
Every program on the Florida map. Add a club, fix a county, mark who you have shot. The name, county, type, class, coach and website show on the public page — the last-shot date and your notes never leave Admin.
Nothing is live until you press Save map. The public page reads it straight after that — no site rebuild.
| Name | County | Type | Class | Teams | Ward gallery | Shot |
|---|
Music
The tracks a coach can pick in the Reel Builder. Files live on the relay, not in the website, so adding one here never means a rebuild — save and it is live.
While this list is empty the Reel Builder falls back to the five tracks built into the page. As soon as you save one track here, this list is what coaches see — so use Add the built-in five first if you want to keep them.
| Order | Track | Mood | BPM | Length |
|---|
Removing a track takes it off the list. The file stays on the relay, so a reel already built with it is unaffected.
Credit codes
Every purchase creates a WM-code. You can also hand out free codes here (comps, phone orders, teams).
